As we plan the Bruney Family Reunion in Dominica, one of our most important goals is to make the experience feel welcoming, relevant and enjoyable for as many family members as possible.

That is difficult to do well if we know very little about the people who are coming.

This is where Customer Relationship Management software — usually called CRM — becomes useful.

The term may sound very corporate, but the basic idea is simple: a CRM helps an organization keep useful information about people in one organized place, so it can communicate with them more effectively and serve them better.

In our case, the “customers” are not customers at all. They are family members.

We are using both a professional CRM tool, together with a corresponding form tool, to help us collect, organize and use the information family members choose to provide as we prepare for the Reunion.

So, what does a CRM actually do?

Think of a CRM as an organized family planning system.

Instead of having information scattered among emails, spreadsheets, messages and individual conversations, the CRM allows the Reunion planning team to maintain important information in one structured system.

For example, information submitted through our online forms may help us understand things such as:

  • who plans to attend;
  • where family members are travelling from;
  • which generation or branch of the family they belong to;
  • dietary preferences or requirements;
  • activity interests;
  • mobility or accessibility considerations;
  • preferred ways of receiving information; and
  • other details that may help us plan more effectively.

The CRM then helps us use that information in practical ways.

The forms collect the information

When you complete one of our family forms, you are helping us build a clearer picture of who will be participating in the Reunion.

Fluent Forms is the part of our system that collects the information you submit.

Rather than asking everyone the same questions repeatedly, forms allow us to gather information in a consistent and organized way.

That information can then be passed securely into our CRM, where it can be organized and used for Reunion planning and communication.

The CRM software helps us organize what we learn

Once information enters the CRM, we can categorize it in ways that make planning easier.

For example, we may be able to identify:

  • families travelling with young children;
  • people interested in particular activities;
  • relatives who may need more accessible arrangements;
  • attendees with particular meal preferences;
  • family members arriving from particular countries or regions; or
  • people who have or have not yet completed important Reunion information.

This does not mean that everyone will have a completely different Reunion itinerary.

It means that better information gives the planning team a better chance of making sensible decisions for the family as a whole — while also recognizing that different people may have different needs and interests.

Better information means better communication

One of the biggest advantages of a CRM is that it allows us to send information that is more relevant to the people receiving it.

Without a CRM, everyone may receive every message, whether or not it applies to them.

With better organization, we can be more selective.

A family member travelling from Canada, for example, may eventually need different travel reminders from someone already living in Dominica. Parents travelling with small children may benefit from information that is not relevant to adults travelling alone. Someone who has expressed interest in a particular excursion may appreciate updates about that activity without everyone else receiving unnecessary messages.

The aim is simple:

fewer irrelevant messages and more useful ones.

It can also help us personalize the Reunion experience

The more accurately we understand the people attending, the more thoughtfully we can plan.

Imagine learning in advance that a significant number of family members:

  • would enjoy a particular type of cultural activity;
  • prefer vegetarian meals;
  • will be travelling with babies or toddlers;
  • would benefit from lower-mobility alternatives;
  • are interested in family history;
  • would like opportunities to meet relatives from particular branches of the family; or
  • are visiting Dominica for the first time.

That information can influence everything from meal planning and transportation to activities, communications and scheduling.

A CRM therefore helps turn many individual pieces of information into a better-informed family plan.

Why we are asking you to provide information

Every form we ask you to complete has a purpose.

We are not collecting information simply because technology allows us to collect it.

We want enough useful information to make better decisions about the Reunion.

When you provide accurate and complete information, you help the planning team answer questions such as:

Who is coming? What do they need? What would they enjoy? How should we communicate with them? What can we do to make their Reunion experience better?

The quality of our planning will depend, in part, on the quality of the information available to us.

You remain an important part of the process

Technology cannot plan a family reunion by itself.

A CRM does not replace conversations, judgment, hospitality or family knowledge. It simply gives the planning team a better way to organize information and act upon it.

Behind the software are family members trying to make good decisions for other family members.

The CRM is simply one of the tools helping us do that more effectively.

Help us make the Reunion more personal

As new forms and requests for information appear on the family website, please take a few minutes to complete them carefully.

Your responses can help us:

  • anticipate needs;
  • improve activities;
  • plan meals and logistics;
  • communicate more effectively;
  • reduce unnecessary messages; and
  • create a Reunion experience that better reflects the people who will actually be there.

In short, the more we know about our Reunion family, the better we can plan for our Reunion family.

Our forms help us ask the questions.

Our CRM helps us organize the answers.

And together, they help us work toward what really matters: a Bruney Family Reunion in Dominica that feels thoughtful, inclusive, personal and memorable.
